What the role is

As an integral part of the Business Operations in the Registry, you will provide administrative support to help ensure that the functions within Registry runs smoothly. You will ensure that investigation papers and request are processed expeditiously, service level agreements with legal enforcement agencies are met, and operations are optimized. You will play an important role as the first point of contact for correspondences sent to the LOG Registry of the Attorney-General’s Chambers (AGC).

What you will be working on

Your duties will include the following: 1. Manage end-to-end Registry Operations work, which includes reviewing, assessing, assigning, and closing of Investigation Papers (IPs). i. Managing and attending to Registry’s Generic mailboxes, including but not limited to, email enquiries from both internal and external stakeholders. ii. Processing all types of inbound and outbound request / IPs and ensure that all submissions are registered in the enterprise system in accordance with existing Standard Operating Procedures (‘SOP’)/guideline. iii. Conduct checks across various systems to determine the status of the submission. iv. Ability to handle submissions received via different modes – email, hardcopy, AGC Portal based on established KPIs. v. Able to assign various request in accordance with Crime Division’s framework. vi. Accepting and acknowledging the snail mails (reps) daily. vii. Recording of outgoing physical IPs before returning to LEA. viii. Attend to email/walk-in enquiries and phone calls. ix. Monitoring of open requests to meet service standards. 2. Conduct accurate and sound assessment on the purpose of submission for both internal and external submissions. i. Identify cases that require urgent attention or concurrence and ensure that such urgent requests are processed in a timely manner. ii. Ability to identify and escalate incoming requests to Director and above that may potentially be sensitive/high profile following the guidelines within the SOP/Circulars. 3. Provide administrative and legal support to various stakeholders. i. Drafting of reply to representation submissions by using the standard template. ii. Liaising with Defence Counsel (‘DC’) on the suitable date and time for meetings with case DPPs. iii. Handle all other administrative matters for meetings with case DPPs. 4. Point of contact for any matters relating to IPs by coordinating with LEAs for any incoming and outgoing IPs. 5. Ensure KPIs and timelines are met, and all requests (both incoming and outgoing) are processed in accordance with service standards. 6. To undertake any other task or assignments by Team/Unit Lead.
