What the role is
This role is responsible for the efficient management of the organisation’s documents. He/she will also have to ensure that the organisation complies to the relevant standards as required.
What you will be working on
The officer would be expected to handle the following areas of work as part of day-to-day responsibilities or as assignments:
Organisational Planning, Budgeting and Forecasting
- Plan, budget and forecast resource needs and make effective decisions on resource allocation so that productivity is maximised
Document Processing
- Ensure documents are managed in accordance to specified requirements;
- Monitor the performance of the outsourced vendor(s) to ensure Service Agreements are met;
- Manage outsource risk adequately through:
- monitoring and maintaining effective control of all risk from outsourcing arrangements
- ensuring that there is independent review and audit for compliance with outsourcing policies and procedures
- ensure that appropriate and timely remedial actions are taken to address audit findings
- ensure contingency plans, based on realistic and probable disruptive scenarios, are in place and tested
Records Management
- Formulate records retention and disposal schedules for all IRAS’ records whether electronic or physical, and liaising with the Director, NAS on the preservation and disposal of public records;
- Support and provide guidance to staff on the use of the records management system and the relevant recordkeeping responsibilities;
- Conducts regular audits of records management compliance and ensure that records are being filed and safeguarded properly, especially vital records.
Contract Management
- Develop and manage vendor contracts to ensure IRAS is maximising its resources
User Experience Continuous Improvements
- Be the voice of the stakeholders and provide regular feedback/ ideas to improve user experience and ensure consistent value propositions across multiple user-groups and contact channels;
- Identify opportunities and apply knowledge of relevant technologies (e.g. RPA, data analytics) or methodologies (e.g. BI Design) in the form of projects/other interventions across branches/divisions to improve user experience or streamline processes;
- Participate and contribute in key activities and milestones in the implementation of digital projects;
- Plan continuous work improvement activities and performance improvement strategies.
