The Knowledge & Workspace Department supports the creation, retention and sharing of knowledge critical to IPOS in meeting its organisational goals. It also administers IPOS’s physical and digital workspaces. We are seeking a dynamic and tech-savvy individual to oversee the management of our physical workspace and the delivery of our office programmes and services. If you have a keen eye for detail and a passion for continuous improvement, this role offers the opportunity to collaborate with various teams to optimise our workspaces, systems and processes, ensuring they are user-friendly, efficient, and aligned with our business needs.

What the role is
What you will be working on
The key responsibilities:
• Lead the development and execution of workspace planning strategies that align with organisational goals, optimise space utilisation, and adapt to evolving work arrangements.
• Oversee the procurement, implementation, and maintenance of infrastructure, systems, and services to ensure a safe, clean, and conducive work environment.
• Drive the digital transformation, redesigning and delivery of workspace services and processes.
• Lead the coordination and implementation of workspace programmes such as Workplace Safety & Health (WSH), Business Continuity Planning (BCP), and the GreenGov.SG environmental sustainability initiative.
What we are looking for
We want to hear from you if you:
• Hold a tertiary qualification, preferably in facilities management, business administration, information systems, or a related field. Having professional certifications relevant to this role is advantageous.
• Bring at least 5 years of working experience in office administration, facilities management and/or project management. Experience in implementing workspace loss prevention, communications and productivity systems and tools is a plus.
• Have a working understanding of principles, best practices and regulations on workplace safety & health, business continuity planning and/or environmental sustainability.
• Have proven experience in business process improvement, technology integration, service design, and/or change management.
• Exhibit excellent written and verbal communication skills, with the ability to collaborate effectively across diverse teams.
• Demonstrate a proactive and flexible approach to work, with strong leadership abilities to manage and prioritise tasks and projects in a dynamic environment.
