What the role is
What you will be working on
You will provide administration support to the teams in the Division and secretarial support to the Division Director.
Duties include, but are not limited to:
• Provide administrative support in matters such as budget collation & tracking, invoice processing, procurement, logistics and daily administration
• Perform key supporting/admin roles for MCCY systems and services
(e.g., printing, SN s-repo admin, etc)
• Assist to organise the various meetings in the division and manage the Director's calendar and schedules
• Perform the role of the backup digital Key Manager administrator
• Assist in the administrative tasks in project management and implementation of IT initiatives
• Work with various stakeholder within ITD division and across divisions, external vendors, PA of senior management, etc
What we are looking for
• Prior experience in providing administrative support
• Prior experience supporting senior management level would be an advantage.
• Strong written and verbal communication skills, with the ability to interact with all levels of staff in a professional manner.
• Meticulous, with strong organisation, coordination and multi-tasking skills.
• Proactive and takes initiative to support the principal in the prioritisation of work and appointments.
• Proficient in digital engagement tools and Microsoft Office applications (e.g., excel for collating and tracking ITD budgets)
• Able to use Gen AI (Pair) or equivalent technology would be advantageous
Competencies:
Administration Management
- Lead, Develop and implementation of SOPs & process for office operations, support and administration
- Identifies and proposes suitable work processes to streamline and/or make more efficient with automation; or leverage on GenAI or equivalent technologies (e.g., PAIR, co pilot), e.g., enhancing the budget excel tracking, data analysis and visualisations
Secretariat Support
- Coordinate and schedule events and meetings
- Coordinate and support in overall logistics for events and meetings, including documents preparation for meetings
- Prepare briefs for meetings with the guidance of supervisor or senior officers
- Draft simple/standard correspondence and simple papers in a clear manner
