What the role is
What you will be working on
Key Responsibilities:
- Collaborate with the Library team to assess and prepare archival materials for digitisation.
- Create and maintain accurate collection inventories, including detailed descriptions and metadata.
- Ensure proper labelling, barcoding, and systematic arrangement of materials for digitisation.
- Establish and maintain project workflows and standards with vendors.
- Communicate project timelines, specifications, and goals clearly to vendors, ensuring adherence to contract terms.
- Develop and maintain an organised filing system to track all materials throughout the digitisation process.
- Coordinate outsourcing logistics and supervise vendors to ensure quality and timely delivery of digitised materials.
- Oversee output and perform quality checks on digitised materials with assistance from the Library team.
- Manage the rectification process for any identified issues and establish clear acceptance criteria for completed batches.
- Prepare reports summarising project achievements, challenges, and recommendations for improvement.
- Regularly report project progress and issues to the Deputy Director and management.
- Perform administrative tasks, including budget management and procurement of goods and services for the project.
What we are looking for
- At least 3 years of working experience in an archival repository or library, with digitisation project management preferred.
- Supervisory experience with strong communication and report writing skills.
- Knowledge of metadata standards for describing digital collections such as Dublin Core, MODS, EAD, MARC.
- Knowledge of digital preservation workflows and best practices is a bonus.
- Ability to work independently and as part of team which includes in-house staff, contract staff and vendors.
- Interest in emerging library and digital trends and technologies.
