What the role is
What you will be working on
The key responsibilities include:
- Conduct regular independent checks on building services, identify service lapses, and propose solutions for areas of improvement.
- Assist in the development, review and execution of policies and Standard Operating Procedures related to Facilities Management (FM), and physical and electronic records management, in accordance with the prevailing guidelines, and other office administration Standard Operating Procedures, workplace safety and health requirements, etc.
- Oversee the day-to-day facilities, operations, repair, maintenance, and relevant processes / procedures with service providers to ensure that the service delivery and contractual obligations were achieved for soft FM and hard FM services.
- Ensure the proper management of records in accordance with prevailing records management guidelines and liaise with the National Archives of Singapore on records management matters
- Design and roll out appropriate records management education content and outreach materials, including virtual and face-to-face trainings, and provide advisory to management and stakeholders on the best records management practices.
- Manage room bookings and event setup to support the organisation’s operations with short turnaround time and assist in the review of existing processes to improve its effectiveness.
- Assist in the development of building database and utilisation of data analytic and leverage on Internet of Things sensors to identify areas of improvement on facilities and records management, and to evaluate sustainability proposal to optimise the building performance and service delivery to the internal stakeholders and to make recommendations for continuous improvement.
- Conduct cost analysis, budgeting, develop specifications for work orders, quotations and tender, and procurement of services in accordance with procurement guidelines.
What we are looking for
- Tertiary qualification in Facilities Management / Engineering, with at least 3 years of relevant experience in commercial building will be advantageous
- Good working knowledge of records management concepts and principles
- Experience in event management
- Experience in data collection and analytic for smart FM technologies and preventive and predictive building maintenance work
- Technically sound with good knowledge of handling escalations, M&E maintenance work, soft and hard facilities management, vendor management and building regulation compliance etc.
- Experience in data analytics and in the use of data visualisation tools will be advantageous
- Possess strong critical thinking, good communication, writing and presentation skills.
