You will be responsible for the Registry and Records Management operations in supporting AGC divisions and the good maintenance of all data (digital and physical records). You will work closely with AGC’s legal divisions and various stakeholders on the overall planning and management of AGC’s digitization efforts, complying with Whole-Of-Government (WOG), National Archives Singapore (NAS) and AGC’s records management policies and guidelines.

What the role is
What you will be working on
Responsibilities:
Registry:
• Manage end-to-end tasks related to Registry operations, which includes reviewing, assessing and assigning legal case files/ requests across AGC’s legal divisions, and maintaining physical and digital files and records.
• Ensure data integrity and accuracy in the AGC Enterprise System, while developing and executing improvement plans to enhance Registry operations and stakeholder satisfaction.
• Support organisational drive for excellence in records management to ensure documents are managed according to defined standards, guidelines and manuals within AGC and across WOG.
• Identify service gaps and streamline work processes to optimize operational effectiveness and efficiency to improve customer experience.
• Participate and contribute to key activities and milestones in the implementation of digital projects.
Records Management:
• Consolidate and harmonise file plans across AGC divisions, collaborate with Chief Records Officer and division representatives for series appraisal with NAS.
• Engage AGC divisions to review records and digitization needs, propose comprehensive technology-driven solutions in partnership with AGC’s IT department with the aim to achieve a harmonised approach for AGC’s digitization services and align AGC’s digitalisation plans to WOG digitisation roadmap and NAS guidelines.
• Review AGC’s public records for purposes of ad-hoc declassification or request for viewing of files by other public agencies.
• Develop and implement best business practices for digitisation and records management, including defining enhancements for AGC's enterprise system to support internal records management policy.
• Manage budget planning and utilisation, contracts and procurement matters related to records management, digitisation, and offsite storage services, and ensure appointed vendors fulfil contractual obligations.
• Undertake any task as assigned by Supervisors.
What we are looking for
Requirements:
• 2 or more years of relevant experience in administration, digitization, technology system, change management and records management would be advantageous.
• Candidates with no direct relevant experiences but possess strong interest in the role are also encouraged to apply.
• Familiarity with National Archives of Singapore records management requirements would be advantageous.
• Possess excellent writing and analytical skills.
• Possess excellent interpersonal and relationship building skills to maintain strong partnerships and communicate effectively at all levels.
• Resourceful and able to work independently in a team environment.
• Adaptable and willing to take on new challenges.
• Self-driven, independent, motivated and result-oriented with ability to multi-task and thrive in a fast paced and dynamic environment.
