The Administration and Finance Department is the staff authority for administrative, financial and procurement matters within SPF. Our primary role is to optimise administrative, financial and procurement resources and ensure that operational needs are met across SPF.
As a Records Management Officer, you are responsible for the day-to-day operations of the Registry. This includes, but not limited to, indexing and recording of registry files in the file registry system, monitoring file movements, retrieving information for officers upon request, conducting stock takes, and managing the disposal of files. You will assist the Manager (Records Management) in administering the electronic filing system and file tracking system, ensuring that the Registry file classification, numbering system and keyword index are properly maintained and updated. You are also required to perform administrative duties for the Secure Repository.

What the role is
What you will be working on
We are looking for a pro-active and dynamic individual, preferably with experience in government records management to be part of our Team. In this role, you will provide advice to SPF units on registry operations, records management, and document security. Together with the Team, you will assist Manager (Records Management) to conduct quarterly Document Security audits on PHQ units. You will assist Chief Records Officer in preparing for and supporting internal and external audits. Additionally, you will support the digitisation of hardcopy records and declassification records as required. You will also identify and promote best records management practices, recommend areas for improvements and conduct training and knowledge-sharing sessions within the records management community in SPF.
What we are looking for
• At least 2 years of working experience in the Civil Service or in related fields.
• Proficient in MS Office applications, especially MS Word and MS Excel.
• Good written, verbal, and interpersonal communication skills.
• Good understanding of the IM on Management Public Records, IM on Policy on Data Management, Singapore Government Instructions for Security of Classified Information and MHA document security audit would be an advantage.
• Experience in project management would be an advantage.
• Strong team player and at the same time, able to work well independently.
• Demonstrate a strong sense of integrity.
• Good time management and able to meet tight deadlines.
• Organised and detail-oriented.
• Motivated and resilient under pressure.
