What you will be working on
Brief description of Job Scope:
Reporting to the Senior Manager/Assistant Director, you will contribute to the following:
1. Provide secretariat and administrative support to committees comprising of executive volunteers who oversee the review of care plans for children and youths in out-of-home care
2. Support the appointment, re-appointment and engagement of the committee members
3. Plan events, programmes and support services for foster families and foster children
4. Perform general administrative or system related work
Responsibilities:
You will be responsible for providing secretariat support to committees comprising of executive volunteers who oversee the review of care plans for children and youths in out-of-home care. This includes the organising of meetings, compilation of meeting materials, minutes-taking and following up on matters arising.
You will support the appointment, re-appointment and engagement of these executive volunteers, including making recommendations on suitable committee members, engaging them to invite them to join the committees and the organising of Annual Meetings and engagement sessions.
You will be involved in the planning of events, programmes and support services for potential foster parents, foster families and foster children. Some of these events can include outreach events to recruit foster parents and awards ceremony for foster families. You will also be involved in the co-ordination of nomination of awards for foster families/volunteers, coordinating the procurement of the venue and event management services for events and the distribution of appreciation gifts for foster families/volunteers as and when required. You will also work closely with partner divisions for the coordination of the award nominations and events.
You will coordinate, monitor, encourage participation and review the effectiveness of programmes and support services for foster families/volunteers. You will also provide general support and coordination on both regular and ad-hoc matters such as the collation of inputs on fostering/volunteer related matters as requested by partner divisions, follow-up on issues related to the implementation of Childcare Leave (CCL) matters for foster parents and others.

• Tertiary qualifications
• Experience in secretariat work and engagement of volunteers
• Experience in managing operations and communications work
• Experience in working with vulnerable children or families or with investigative experience in social service settings is an added advantage.
• Strong analytical, writing and communication skills
• Self-directed, forward thinking, adaptive to change and able to work in a fast-paced setting
• Good people management, project management, strategic thinking and problem solving skills
