The jobholder is part of a team in MHA HR Services Centre (HRSC) which works closely with HR partners to deliver timely and quality HR services. The team ensures the smooth administrations of major HR exercises such as Annual Declaration Exercise (ADE) and Credit Screening Exercise (CSE), and processes financial declarations in compliance with Instruction Manual (IM). The team also handles screening requests from units in accordance with the service level agreement and other prevailing guidelines and directives.

What the role is
What you will be working on
• Prepares and administrates ADE and CSE for the MHA population, which include:
- system preparations to ensure the exercises are administrated smoothly
- close monitoring on respondent’s rate to ensure high response rate
- management of offline declarations
• Oversees the administration of notification letters for several HR policies such as Mandatory Block Leave, and Casino Visits, which include:
- timely issuance of notification letters upon HR partners’ requests
- close tracking of letter acknowledgements and ensuring proper filing of acknowledgements.
• Bring about continuous HR process improvement through process reviews and harmonization of practices. This includes identifying gaps in relevant processes under the team, establishing Standard Operating Procedures (SOPs) and conducting regular reviews to ensure relevancy.
• Identify gaps for relevant processes under the team, recommend resolution and lead the implementation of the changes.
• Develop a strong and effective working relationship with key stakeholders and other internal branches within HRSC to ensure that issues relating to ADE and CSE are addressed in a timely manner.
What we are looking for
• Good communication, writing and problem-solving skills
• Metrics driven with strong critical and analytical capability
• Able to multi-task and work under extreme pressure with tight deadlines
• Knowledge in MS Applications (e.g. Excel), SAP and/or relevant experience in Robotics Process Automation (RPA) would be an added advantage
• Ability to manage and deal with difficult customers and complicated situations
• A good team player who is also able to work well independently
