MPA’s Maritime Decarbonisation Division aims to formulate strategy and track the sustainability performance of various MPA initiatives. It will also promote sustainability awareness and manage sustainability initiatives and programmes and integrate them into MPA’s work for Maritime Singapore.
[What you will be working on]
Key Responsibilities
Support efforts to promote net zero transition in the maritime sector:
- Plan and organise carbon accounting and management training workshops
- Review and update workshop materials, with up-to-date technology and policy developments in the maritime sector
- Engage industry association to encourage participation in the training workshops and annual LowCarbon50 awards
- Evaluate companies’ applications to the annual LowCarbon50 awards, and organise the awards ceremony at Singapore Maritime Week
- Plan and organise decarbonisation-related programme segments at Singapore Maritime Week
Provide administrative support to the Maritime Decarbonisation Division (MDD):
- Provide coordination and administrative support to MDD including arranging both internal and external meetings;
- Provide administrative support including arranging meetings, managing the schedule of the Directors, organising overseas trips, filing claims and coordinating inputs;
- Provide logistic support for events hosted by MDD, including budget approval guidance, for MDD's hosting of events/workshops/ceremonies with external industry stakeholders;
- Assist in coordinating and consolidating inputs from various divisions in MPA on decarbonisation related matters (e.g. surveys);
- Assist in putting up overseas trip budget submissions, and arranging transport and accommodation for overseas trips for all MDD officers including making claims for officers;
- Assist MDD in making gift declarations;
- Assist MDD in all procurement-related matters, including
procurement and management of office supplies,
procurement of goods and services including from the issuance of purchase order to the receipt of goods and services, as well as
verifying and processing invoices;
- Coordinate MDD’s budget and tracking budget utilisation, including liasing with Finance;
- Manage office space and assets, including being responsible for office space planning and fire safety;
- Coordinate welfare activities for all MDD officers, including team-bonding activities, celebrations for special occasions;
- Coordinate training needs and schedule for all MDD officers;
- Provide support to all MDD officers in record and file management (e-Cabinet and e-Registry);
- Provide support to all MDD officers for CRM;
- Provide support for onboarding for new officers/interns; and
- Any other ad-hoc duties assigned.
[What we are looking for]
Requirements:
- Possess at least 3 years of relevant experience in corporate administration – experience in records, information and/or document management functions would be advantageous.
- Team player who is proactive, independent, meticulous and enjoys taking care of the administrative needs of colleagues
