What the role is

Assist Deputy Director (Facilities Management) and Assistant Director (Facilities Management) to administer and optimise all FM-related contracts for IPOGs including working with IPOGs on establishing requirements, managing the procurement process, ensuring effective contract management and identifying opportunities to improve contract performance and efficiency across all IPOGs.

Duties and Responsibilities

  • Conduct comprehensive consolidation and review of Schedule of Rates (SOR) on all FM-related works, analysing existing rates against market standards and ensuring accurate reflection of task scope and complexity.
  • Support the progression towards integrated facilities management by coordinating with stakeholders to seamlessly integrate and aggregate FM services, participating in strategic planning, implementing best practices and proposing innovative solutions to enhance operational efficiency.
  • Maintain and update contracts and related information and matters on Teamsite, ensuring all information is current, accurate, and properly recorded.
  • Manage the Maintenance and Sinking Fund for the IPOGs, ensuring proper allocation and utilisation of resources in line with organisational objectives and regulatory requirements.
  • Ensure timely issuance of Purchase Orders via GeBIZ for FM related work, adhering to procurement guidelines and deadlines. Monitor procurement status and resolve any issues that arise during the procurement process to facilitate smooth IPOG operations.
  • Implement and maintain robust processes and policies for IPOG FM contract management, including proper follow up on contract variations and documentation. Standardise best practices and minimise contractual risks to enhance corporate governance across ICH Division and IPOGs.

Education and Experience

  • Three years working experiences in facilities management or related field.

Only shortlisted candidates will be notified.

Successful candidates will be given a 2-year contract.
