What the role is

The role is responsible for overseeing administrative operations with a focus on records management, knowledge management, and developing and implementing initiatives that enhance employee wellness and drive the organisation's social responsibility agenda, creating a positive social impact and fostering a caring workplace culture.

The ideal candidate will be a well organised and resourceful individual, with the ability to handle multiple priorities in a dynamic environment and work independently. He/she should demonstrate genuine care and concern for the wellbeing of others.

What you will be working on

You will be responsible for: -

  • Knowledge and Records Management 

    • Review and strengthen existing records management policies and procedures, ensuring compliance with regulatory requirements and organisational standards whilst maintaining proper documentation lifecycle management 
    • Lead NAC's knowledge management initiatives, including enhancing and maintaining records repository system, facilitating knowledge sharing, and implementing best practices for information capture and dissemination 
    • Oversee the digitisation of records and implementation of electronic document management systems, ensuring proper classification, storage, and retrieval of information 

     

    Staff Wellbeing 

    • Design and implement holistic staff wellness programmes and initiatives such as monthly snacks, health screening exercises and mental wellbeing workshops 
    • Use a methodical approach to monitor and evaluate the effectiveness of wellbeing programmes through regular surveys, feedback sessions, and data analysis   
    • Manage the Wellness Ambassador programme and serve as a confidential point of contact for staff seeking support 
    • Draft reports and policies and make presentations to management 

     

    Corporate Social Responsibility (CSR) 

    • Develop and execute the organisation's CSR strategy aligned with corporate values and sustainable development goals 
    • Identify and manage partnerships with CSR stakeholders (e.g. community organisations, charities, and social enterprises) 
    • Event planning and coordination of staff volunteers and community engagement activities under CSR framework 
    • Track and report on CSR initiatives 
    • Manage CSR budget and ensure cost-effective implementation of programmes 
    • Create internal communications to promote CSR initiatives and encourage staff participation 

     

    Recreation and Social Committee 

    • Perform regular review of Terms of Reference for Recreation and Social Committee (RSC) and to seek management’s approval for any change proposed 
    • Budget management and payment 
    • Manage the annual nomination of members and the handover of duties to incoming members 
    • Support RSC in bringing staff together through events and activities 

     

    Working in a team, the officer will also cover the office administration such as hotline manning, facilities management and procurement as and when needed. 

What we are looking for

  • Minimum 5 years of experience in administrative management   

  • Candidates with prior experience in Records /Files Management would be preferred  

  • Meticulous attention to detail and strong analytical mindset with the ability to develop and implement systematic approaches to information management 

  • Excellent project management capabilities with demonstrated experience in leading organisation-wide initiatives 

  • Proactive and forward-thinking approach to identifying and mitigating potential risks 

  • Professional demeanour when dealing with challenging situations or stakeholders 

  • Resilient and adaptable with the ability to maintain effectiveness under pressure 

  • Strong commitment to continuous improvement and innovation 

  • Excellent presentation, written and verbal communication skills 

  • Service oriented with genuine empathy and patience when dealing with diverse stakeholder needs and concerns
