The Corporate Services (CS) cluster provides key support services for PSD, including Finance, Procurement, Registry and Officer Administration. CS manages PSD’s budget to ensure financial accountability, fiscal sustainability and the effective & efficient use of public resources. It also oversees the implementation of procurement strategy and policies within the organisation and ensures that the key principles governing procurement are adhered to. In the area of Knowledge Management, CS formulates internal policies and best practices to ensure the retention of knowledge and records across PSD. CS also ensures that officers enjoy a conducive, productive and safe office environment.

What the role is
What you will be working on
1. Work with cluster reps to create new taxonomies for Secret records, including providing advice to the KM Champions/Representatives on the design of Series Appraisals and filling up of the Series Appraisal forms for submission to the National Archives of Singapore (may also include series appraisals for Confidential records where applicable)
2. Assist Secure Repo Agency Admin (i.e. KM Team) in the set-up, creation of new folders in Secure Repo and the maintenance of the folders, such as granting/maintaining the access rights in Secure Repo
3. Work with stakeholders to move secret records from their laptops and/or relevant archival laptops to the Secure Repo, including housekeeping of records (if any)
4. Liaise and follow up with the National Archives of Singapore on new series appraisals, if any (may also include series appraisals for Confidential records where applicable)
5. To curate and customise KM briefing materials on Secure Repo in relation to PSD’s context
6. Work with stakeholders to develop any change management materials as required for Secure Repo
7. Post Secure Repo implementation follow ups e.g. surveys roll out
8. Any other ad-hoc tasks as assigned
What we are looking for
• Technical skills - proficient in using scanners, OCR software
• File Management – Efficient organisation of physical and digital files, ensuring easy retrieval and proper indexing
• Quality Control – precision in scanning and verifying digital copies against physical documents and ability to perform quality checks to ensure documents are correctly digitised and legible
• Data entry – accuracy in data entry to ensure digital records are correctly created and indexed
• Communication skills - ability to communicate progress, issues and outcomes effectively and timely to supervisor or relevant stakeholders
• Efficiency – managing time effectively to meet project deadlines
• Manual Dexterity - possess skill in handling physical documents carefully to prevent damage during the scanning process
• Physical Endurance – ability to handle physical task such as lifting and moving boxes of files
