The Service Assurance Department (SASD) ensures quality, consistent and citizen-centric delivery of operations and services through assurance checks and audits into front-facing processes, and investigations into serious complaints. Specifically, the career opportunity entails providing support to the Quality Management Representative in implementing, maintaining, and improving the organisation's Quality Management System (QMS) in accordance with ISO 9001 standards.

What you will be working on

Your key responsibilities will include the following:

1. QMS Documentation Management

  • Develop, review, and maintain organisation-wide QMS documentation to ensure compliance with ISO 9001 requirements.
  • Manage the ISO 9001 Intranet Portal and maintain comprehensive QMS records.
  • Ensure all QMS documentation remains current and accessible to relevant stakeholders.

2. Audit Management

  • Prepare Invitation to Quote (ITQ) documentation for external audit services.
  • Coordinate and facilitate internal audits, including planning, scheduling and follow-up.
  • Manage the preparation and execution of recertification and surveillance audits.
  • Liaise with external auditors to coordinate audit activities and schedules.

3. QMS Representative Coordination

  • Partner with nominated QMS Representatives across departments to ensure consistent implementation.
  • Prepare Divisions / Departments for external audit.
  • Provide expert guidance and promote awareness of QMS requirements.
  • Process appointment letters and monitor mandatory training completion.
  • Oversee the implementation and tracking of corrective actions.

4. System Improvement

  • Coordinate and perform secretariat duties for Management Review meetings.
  • Identify opportunities for process enhancement and system optimisation.

5. Any other tasks as assigned.

What we are looking for

The job might be for you if you possess the following qualities:

  • At least 2 to 3 years of relevant working experience in the areas of Quality Management System and ISO9001 certification.
  • Strong organisational skills.
  • Strong analytical skills.
  • Good verbal and written communication skills.
  • Meticulous and attentive to details.
  • Resourceful, have good interpersonal skills and able to work effectively both independently and in a team.
  • Able to work in a fast-paced and highly volatile environment that would require the ability to manage multiple priorities and stakeholders at the same time.
