What the role is

Responsible for the day-to-day operations of the Shared Services team which include Events Logistics Support, Environmental Sustainability and Corporate Administration services. Key focus for this role is to assist in the planning and execution of conferences, events, seminars, etc. hosted by AGC.

What you will be working on

Be part of the team and to perform the following key roles in Events Logistics Support portfolio: a) Collaborate with key stakeholders in the gathering of requirements for events logistics support, planning, preparing, and organising of Divisional events or AGC-wide events. b) Manage and prioritise ad-hoc events requests. c) Oversee the timely delivery of events management planning and execution to align with Senior Management and Divisions’ requirements. d) Manage the procurement of venue and events management services and oversee the contract management. e) Draft requirement specifications for the calling of tenders including evaluation and award for the events logistics support where required. f) Prepare and review approval papers. g) Establish clear targets and timelines for the preparation and execution of events. h) Monitor the efficient allocation of resources and the budget allocated for events. i) Any other duties as required for events logistics support. Assisting in the Environmental Sustainability portfolio, not limiting to the following: a) Plan and organise “green” activities for staff to create greater awareness on the various environmental practices in AGC. b) Plan and prepare for the (re)certification of Environmental certifications for AGC offices. c) Implement relevant “green” suggestions and proposals and ensuring compliance of directives from GreenGov.SG within AGC premises. d) Prepare comms materials (e.g. newsletters/posters/infographics) to raise awareness on AGC’s environmental sustainability efforts. Provide support in other shared services which include Corporate Administration; Records Management for Corporate Services Division; Administration of Email Management System for AGC. Opportunities to take on other roles assigned under the Operations Department.

What we are looking for

Requirements: • Qualifications in Events Management, or other equivalent. Candidates without required qualifications but with relevant experience are welcomed to apply. • Minimum 3-5 years of relevant experience in events management (preferably large-scale events) and knowledge on Government Procurement would be preferred. • Possesses excellent interpersonal and communication skills with the ability to manage multiple internal and external stakeholders. • Strong planning and organisational skills. • Ability to multi-task and thrive in a fast pace and dynamic office environment. • Experience in managing multiple large-scale events simultaneously. • Collaborative and proactive, and able to work independently. • Positive, meticulous, result-oriented, analytical, and resourceful.
