What the role is
What you will be working on
Key areas of responsibilities include:
1. Oversee the operations of the Shared Services team which include Events Logistics Management, Environmental Sustainability and Corporate Administration Services:
a) Daily operations are performed promptly and seamlessly with compliance to the Government Instruction Manual, Internal Guidelines and Operating Procedures.
b) Provide solutions for critical operational issues and feedback.
c) Engage internal/external stakeholders and guide the team on the review of service standards, policies, and guidelines.
d) Review of work processes and transformation initiatives to streamline the team’s processes and continuous improvements on customer centricity.
e) Oversee Records Management for Corporate Services Division in compliance with IM4L.
f) Collaborate with key stakeholders in the gathering of requirements for events logistics support, planning, preparing, and organising of Divisional events or AGC-wide events.
g) Oversee the timely delivery of events management planning and execution to align with Senior Management and Divisions’ requirements.
h) Prepare approval papers and draft requirement specifications for the calling of tenders including evaluation and award for events management and other services required under the Shared Services team.
i) Oversee the Environmental Sustainability initiatives and activities for AGC which include the recertification of Eco-Office Plus and BCA-HPB Green Mark for Healthier Workplaces.
j) Contracts Management and ensure contracts are renewed promptly where required.
k) Manage and oversee the annual workplans and budget planning and utilization for the Shared Services team.
2. Represent Operations Department in AGC-wide initiatives which include system implementation and new set-ups where required.
3. Work closely with Head of the Operations Department in the overall management, planning and coordinating of administrative matters for the team.
4. Opportunities to take on other roles assigned under the Operations Department.
What we are looking for
Requirements:
• Qualifications in Business/Corporate Administration, Events Management or other equivalent. Candidates without required qualifications but with relevant experience are welcomed to apply.
• Minimum 6-8 years of experience in a managerial/supervisory role and events management (preferably large-scale events) and knowledge on Government Procurement would be preferred.
• Possesses excellent interpersonal and communication skills with the ability to manage multiple internal/external stakeholders and team members.
• Strong planning and organisational skills.
• Ability to multi-task and thrive in a fast pace and dynamic office environment.
• Experience in managing multiple large-scale events simultaneously.
• Collaborative and proactive, and able to work independently.
• Positive, meticulous, result-oriented, analytical, and resourceful.
