What the role is

This role supports the Deputy Director of Records and Knowledge Management to drive the organisation’s adoption of best practices in records and knowledge management and development and implementation of relevant systems.

What you will be working on

• Engage in document archival to update and maintain agency's database to ensure proper records management • Provide advice and consultation for interpretation of records management policies and procedures to end-users; resolve identified issues with the appropriate stakeholders • Assist in records management operations, processes, and execution to minimise lapses and non-compliance • Assist in review and implementation of records and knowledge management systems, processes, and frameworks • Manage the incoming and outgoing mails of the organisation • Work with relevant departments to manage the life cycle of the documents from receipting, registering, distribution, filing/archiving, retrieving, appraising, transferring, preserving, declassification and disposal requests by external parties • Manage resources effectively so that information storage space and equipment are used optimally • Propose and implement enhancements to improve records management process or system effectiveness and efficiency for greater service delivery • Attend to end-users’ queries, escalate issues to appropriate stakeholders to resolve issues in a timely manner • Drive and administer the editorial, promotion and publicity of the Knowledge Portal, run programmes and activities to encourage knowledge sharing within organisation to meet organisation’s long-term needs • Contribute to content creation and updating of existing knowledge management platforms. Actively solicit for contributions and postings from departments, content owners and expertise

What we are looking for

• Any Professional Qualification • Good communication, writing and IT skills • Basic Records Management knowledge is preferred • Innovative, resourceful and a problem-solver. Able to examine issues from various perspectives and recommend the most effective solution • Strong interpersonal skills; able to communicate and work effectively with different people • Self-starter who works will a strong sense of urgency; able to work well under pressure and tight timelines
