As a key driver of the Corporate and Information Services team, you will be responsible to drive administrative functions including records management efforts. The Information and Corporate Services is part of the Facilities Management & Corporate Services Department, responsible for administration, procurement, facilities management, and project development. You will oversee the governance in contract and records management, support and manage the entire spectrum of MSE’s administrative and information services functions.

What you will be working on

You will play a key role in administrative functions and administering the knowledge assets and your job scope includes: • Lead and mentor a team of officers to achieve effective and efficient administrative management processes and systems to ensure corporate governance, implement improvement initiatives. • Drive operational transformation and build a strong culture of knowledge management. • Oversee the administrative functions including the administrative duties and logistics support, for the day-to-day optimal functioning of MSE. • Review, refine and implement policies and processes for administrative services. • Lead and work closely with National Archives Singapore (NAS) on the record management requirements for retention, preservation, and declassification of MSE’s records. Ensure that the team adopts and adhere to NAS Records Management guidelines. • Ensure proper records management and maintenance of physical and digital records, and maintenance of registry in accordance with IM4L. • Provide records and information advisory services across all staff levels. • Oversee Knowledge Management (KM) initiative and projects to ensure outcome are met. • Drive digital solutions to automate KM and registry processes with IT Team. Partner the team to enhance processes and systems related review.

What we are looking for

• Proven relevant experience in corporate services and information/records management. • Proven leadership in team management and stakeholder engagement (internal and external vendors). • Strong analytical, problem solving and conceptualization skills, with the ability to synthesize complex information and different perspectives. • Good Knowledge of service or interaction design is advantageous. • Experience in design and implementation of document/records management systems, or collaborative platforms and tools. • Strong communication and interpersonal skills to engage and drive desired outcomes. • Organised, meticulous and adept at multi-tasking under tight deadlines. • Driven and motivated self-starter, who is a strong team-player, and results-oriented. • Excellent written communication and presentation skills. • Familiarity with the Instruction Manual on the management of Public Records (IM4L) is an advantage
