What the role is

The Lead Executive is responsible for supporting the transition from SSI’s legacy system to a new integrated Learning and Training Management System (iLTMS) to enhance the delivery of learning experience for learners.
He/she will support the coordination of system-related meetings, training sessions, and User Acceptance tests with internal stakeholders and external vendors, and assist in the tracking and follow-up of project milestones and action items.
He/she will support the team in ad-hoc administrative and operational tasks, including but not limited to the migration of learning assets, documentation, and file organisation to facilitate effective system implementation and knowledge management. He/she will also support the iLTMS workgroup in other tasks to optimise organisations’ and learners’ experience and transition to the new system, such as but not limited to the preparation of iLTMS user guides, video guides, FAQs.
To support a longer-term transition and optimisation process, he/she will continue to be involved in post-implementation refinement, capacity building, and continuous improvement efforts to maximise the iLTMS’s potential for both internal users and learners.
This includes activities such as: reviewing feedback from end users to identify and resolve system pain points, updating and maintaining learner and admin user manuals, monitoring system analytics to identify improvement areas, and coordinating periodic reviews of digital learning assets to ensure continued relevance and quality.

What you will be working on

1. Administrative and Project Support
• Assist in the tracking and reporting of project status
• Schedule and coordinate meetings, training sessions, and User Acceptance tests with internal stakeholders, system vendors, and project teams
• Track and follow up on deliverables to ensure timely execution of milestones
• Support the preparation of iLTMS user guides, video guides, FAQs
2. System Optimisation and Continuous Improvement
• Support post-implementation review and refinement of iLTMS processes
• Collaborate with stakeholders to enhance learner and administrator experience through system configuration and workflow improvements
• Monitor and generate system usage and learner analytics reports
• Coordinate refresher or onboarding training for internal and external users
3. Capacity Building and Change Management
• Develop communication materials and updates to support change management and stakeholder engagement
• Maintain and update a central repository of iLTMS-related documentation (e.g. SOPs, guides, FAQs)
• Support pilot multi-tenancy development to onboard sub-tenants to iLTMS
4. Vendor and Stakeholder Management
• Coordinate with system vendors to monitor issue resolution, feature enhancements, and user feedback
• Track vendor deliverables and support review of post-implementation service levels
