What the role is
Reporting to Senior Assistant Director, Infrastructure Development Branch (IDB), you are responsible to assist in end to end monitoring of estate and infra management matters, including drafting routine Approvals-of-Requirements (AORs) for infra maintenance, processing invoices to ensure timely submission as well as performing the Good Receipt Officer role.
You are also required to assist as project management officer to coordinate with multiple stakeholders (users, facilities management manager and term contractors) to ensure work schedules are on time, for estate improvement projects.
What you will be working on
Your specific responsibilities as an Assistant Executive (Infrastructure Sustainment), includes:
• Plan, coordinate, manage contractor, and provide administrative support in the implementation of small-scale infrastructure-related projects assigned to Subsistence team to ensure timely delivery.
• Process security clearance of vendors as well as pass making requests from contractors.
• Track fixed assets and perform transfer, retirement, labelling of assets and write off functions via a proprietary system (training will be provided) when required.
• Conduct 100% inventory check on Prison HQ's fixed assets during the annual stock take exercise
• Generate Purchase Orders via the same proprietary system for project or goods and services.
• Coordinate with various stakeholders to perform Goods Receipt functions for completed projects or services/goods received.
• Perform general administrative support such as documentation and filing.
• Support the processing of feedback and/or requests from internal stakeholders, track and engage the stakeholders for feedback closure and/or requests follow-up actions where applicable.
• As the Resource Booking System (RBS) agency-administrator, to oversee to renewal of subscription for new term, assisted in necessary updates for resources in RBS, assisted in requests for advanced bookings of resources
• Help design and prepare broadcast relating to informative details from IDB using Canva.
• Any other ad hoc duties.
