What you will be working on

Responsibilities: • Organize and maintain Principals' diaries, coordinate schedules, make arrangements for meetings and appointments including submitting requests for room setups and pantry services for meetings, checking the room setups, registering visitors and receiving visitors at meeting rooms, update and schedule the Principals' events on their calendars, provide secretarial and administrative support. • Screen and manage calls, inquiries and requests from various stakeholders and handle them where appropriate, attend to and monitor urgent inquiries and issues, ensure that they are brought to the Principals' attention. • Provide high quality word processing, document preparation, office administration and services. • Track files circulation and maintain an effective and confidential record system, examine, evaluate and prioritise correspondence and papers for Principals' attention including handling of confidential information, ensure records are accurately filed into the systems (Email Management System / Intelligent Workspace). • Assist in coordinating and organising various events and meetings. • Manage corporate/admin tasks for supporting Division such as travel administration, asset sightings, collateral distributions and maintaining manpower updates.

What we are looking for

Requirements: • Self-starter, able to work independently and to take initiative. • Capable of multi-tasking. • Flexible, keen to learn and interested in new ideas. • Highly discreet. • Good interpersonal skills, with demonstrated ability to get along well and work well with a team. • Good writing skills and good command of the English Language. • Proficient in MS Office applications such as Microsoft Word, Excel, PowerPoint and Outlook. Generally IT-savvy as you will need to learn and work with specialised legal IT systems that the Agency uses. • At least 3 years of relevant experience in providing administrative/secretarial support in a fast-paced work environment.
