What you will be working on
• Ensure proper management of official records which includes physical, digital as well as manning of secret registry in line with IM4L, IM8 and CNB SOP.
• Support the developing the knowledge management framework at CNB. This includes the reviewing of existing SOPs and guidelines and streamlining work processes to achieve more effective records and knowledge management at CNB
• Oversee and perform the following key Registry functions (not limited to):
- Appraisal of records with NAS
- Revision of Records Retention Schedule (RRS)
- Creation and streamlining of internal audit process to perform periodic filing reviews of significant projects to ensure emails are filed promptly and completely by the Action Officers.
- Work with Intel Division to incorporate the RRS element in i2MAS and the mechanism to monitor the retention periods and disposition actions of file records.
- Work with Divisions and Units to maintain a listing which includes retention periods and disposition actions for the physical records stored in their repositories.
- Assist in the file destruction exercises in line with Records Retention Schedule (RRS)
• Support the Digitisation efforts at CNB
- Liaising with vendors in WOG DA Contract
- Liaising with DTO for enhancement of systems – IDEAS II/i2MAS
- Liaising with Record Managers
- Stocktaking subject files and updating Masterlist
- Checking and verifying the records digitised
• Support the implementation of MHA E-Registry
‒ implementation of Biometric Keypress
‒ ensuring adequate security safes and steel locking bars are in place
