What the role is

We are seeking an experienced individual to join the Workplace Team. The role involves providing excellent service delivery to staff, implementing a conducive, collaborative and productive working environment, and ensuring strong governance and internal controls.

What you will be working on

The successful candidate will work in a professional team and is responsible for overseeing and optimising the organisation's workplace operations and facilities management. This role involves developing and implementing strategies to create an efficient, safe, and productive work environment while ensuring compliance with relevant regulations and organisational policies.

The key responsibilities include, but not limited, to the following:

Facilities Management

  • Oversee day-to-day facilities operations, including maintenance, repairs, and improvements, pantry management, conduct periodic checks

  • Ensuring that the works are properly executed and completed according to requirements and schedule.

  • Manage relationships with external vendors and service providers

  • Ensure compliance with health and safety regulations and building codes

  • Implement and monitor energy efficiency and sustainability initiatives

  • Oversee audio-visual equipment and conference room facilities

  • Monitoring utilities usage

  • Asset Management

  • Planning, work specifications, budgeting and execution of projects

  • Conduct regular audits of workplace practices and facilities

  • Responding to facilities related emergency calls after office hours

  • Be part of the office’s Emergency Response Team

Business Continuity

  • Implement and maintain business continuity plans for workplace operations

  • Conduct risk assessments and implement mitigation strategies

  • Be part of the crisis management efforts related to workplace disruption

Workplace Management

  • Implement workplace strategies aligned with organisational goals

  • Be part of the Office Renovation and Relocation projects

  • Manage office amenities and services to enhance employee satisfaction

  • Carry out other administrative duties and/ projects when required

What we are looking for

Requirements

  • At least 4 years’ of relevant working experience in workplace management or facilities operations

  • Proficient in project management and budget control

  • Good team management skills

  • Good communication and interpersonal skills

  • Dynamic, high-energy level, self-initiated and resourceful, with the ability to multi-task.

  • Strong orientation towards excellent service delivery.

  • Strong orientation towards innovation and out-of-box thinking to address work challenges.

  • Preferably competent with government regulations is preferred.

  • Team player, able to work across business units to establish a collaborative work environment.

Note: This is a fixed term contract position.

Established in 1988, Tote Board (Singapore Totalisator Board) is a statutory board of the Ministry of Finance.
