We are looking for Executive/ Senior Executive in Programme Experience and Operations (PXO). Successful candidates will be providing operational support to programme delivery.

What the role is
What you will be working on
Programme administration and management
• Responsible for the full spectrum of programme administration and logistic duties, encompassing pre-programme management (such as preparing programme/event budgets, costing and pricing, and handling registration), providing on-site logistical support, and post-programme administration (including payment and billing).
• Work closely with Institute Development Officers (IDOs) on programme related matters such as course take up, course materials etc. to ensure programme support is timely and in accordance with Institute’s requirements.
• Procure items related to programmes/events.
• Timely invoicing/billing to participants
• Timely payments to trainers and suppliers
Contract Management
• Work closely with Institute Development Officers (IDOs) in preparing contractual agreement for Trainers & 3rd party training providers/vendors via the different procurement methods (eg. ITT, ITQ, DC etc)
• Creating of course and class in Learning Management System (eg. TREX, LEARN DC)
• Prepare publicity for programme
• Registration and confirmation of participants
• Coordinating travel arrangement (if applicable)
• Marking of attendance and compiling of course evaluation
• Responsible for knowledge management ie. keeping accurate and proper records.
• Proper accrual of expenditures related to the programmes/events.
• Comply with college service standards and operations guidelines.
• Meet college and team KPIs.
• Prepare and work with respective project members on procurement requests eg. Invitation to Quote.
• Provide onsite support and assistance to associate trainers and resource persons for the smooth delivery of programmes
• Work with other units like IDOs, Finance, AV, Admin and Estate and Customer Service to ensure programme is conducted smoothly
• Work closely with Team Leader to provide timely course updates and raise any potential service lapses to Management.
What we are looking for
• 2 years of relevant working experience, preferably in a programme / event administrative / role
• Excellent communication and written skills.
• Organized and meticulous.
• Team player, and able to work under pressure and short deadlines.
• Good interpersonal and customer service skills.
• Good problem-solving and time management skills.
• Proficient in Microsoft Office applications, Virtual platforms such as Zoom, MS Teams, Digital tools such as Mentimeter, Pigeonhole, Kahoot
• Demonstrate a positive attitude with integrity and drive for excellence in work
