You will be part of the Rehabilitation and Protection Group (RPG) that undertakes the statutory functions in the rehabilitation of adult and youth offenders, and the protection of children, families and vulnerable adults (VAs). Description of Division:
As part of the RPG family, the Protective Service (PSV) is committed to safeguarding individuals vulnerable to abuse, neglect, or exploitation. This includes children, vulnerable adults, and families affected by domestic violence through statutory interventions and supportive services that ensure timely, coordinated protection. PSV also drives evidence-based practice, strengthens partner collaboration, and advances trauma-informed approaches to enhance the safety and well-being of those at risk or affected by serious harm.
What you will be working on
Responsibilities:
Your main tasks will include, but not limited to:
1. Provide administrative support on court-related matters
a. Compile and submit reports to the Court and Panel of Advisors ahead of court proceedings.
b. Ensure court duty officers file their minutes from court proceedings.
c. Follow up with case officers and supervisors on the outcome of family conferences and contested court proceedings.
d. Facilitate tracking and data collection of court cases to enable the extraction of actionable insights.
2. Maintain an up-to-date and well-organized knowledge base
a. Regularly update the knowledge base with new information from emails and briefings, remove outdated materials and organize content for easy access and retrieval.
b. Provide administrative support for the development and review of quality procedures and standard operating procedures.
c. Communicate updates to staff regarding newly added/updated content and proactively reinforce awareness of key reference materials.
3. Oversee the scheduling and calendar management of Directors in PSV (specifically Director/PSV, Director/PCD and Director/Ops)
a. Proactively manage internal and external meetings for the 3 Directors, including scheduling of appointments, events and calendar updates.
b. Coordinate and respond on behalf of the Directors for various matters (e.g. clearances, apologies, meeting follow-ups etc)
c. Support and assist in scheduling division-level engagement activities (e.g. team chats with Director, appraisal check-ins etc)
4. Provide administrative support and undertake any additional related duties assigned by your supervisor to ensure smooth operations in PSV.

• Related working experience with at least 2 years in office administration support
• Good interpersonal skills
• Good organizational skills and adaptable in a fast-paced environment
• Good oral and written communication skills
• Proficient in using the full suite of Microsoft office programs
