What the role is

Part of the International Group in IMDA, the Asia Tech x Programme Office (ATxPO) organises Asia’s annual flagship tech event – Asia Tech x Singapore (ATxSG). ATxSG convenes leaders from government and industry for challenging conversations at the intersection of technology, society, and the digital economy, enhancing Singapore’s digital thought leadership. ATxPO also organises ATxInspire, a companion series to ATxSG, which fosters collaboration and knowledge sharing within the tech sector.

As Senior Manager, Planning & Secretariat, you will lead the end-to-end planning, coordination, and governance of ATxSG and related initiatives. You will oversee strategic scheduling, inter-agency coordination, and project governance, ensuring the seamless execution of all operational, administrative, and stakeholder engagement processes.

What you will be working on

Responsibilities:


Administrative and Coordination

  • Lead the development and implementation of detailed event plans, and work plans across multiple workstreams and stakeholders.
  • Coordinate with internal divisions and vendors (e.g. Communications, Strategic Planning, Finance, Legal, Procurement, IT…etc) to ensure all system, financial, meeting and reporting requirements are arranged and executed smoothly.  
  • Drive the development of meeting agendas, governance schedules and secretariat processes, ensuring all action items are tracked and completed on time.
  • Supervise the planning and system team in handling all event-related administrative tasks, including preparing and distributing invitations, managing RSVPs and maintaining guest lists for whole of government.
  • Maintain and continuously improve SOPs, knowledge repositories, and asset to ensure organizational continuity and process efficiency.

Stakeholder Engagement and Communication:

  • Serve as the primary point of contact for event-related inquiries, providing timely and accurate information to internal and whole of government stakeholders and relevant government delegate participants.
  • Manage engagement with senior government delegates to ensure their needs are met and their participation is smoothly integrated into the event.
  • Oversee the development of high-quality briefing materials, stakeholder reports and communication updates for senior management and external partners.
  • Represent ATxPO in cross-agency working groups and planning committees, advocating for operational excellence and alignment with strategic objectives.

Post-Event Evaluation and Reporting:

  • Lead post-event reviews and evaluation, synthesising feedback and insights into actionable recommendations and continuous improvement.
  • Prepare comprehensive event and management reports, highlighting strategic outcomes, key learnings and recommendations for future event editions.
  • Ensure all post-event administrative tasks are completed in compliance with governance standards.

Financial and Budget Management

  • Lead the financial planning, tracking, and reporting for all ATx initiatives, ensuring transparency and accountability throughout the event lifecycle.
  • Preview financial documentation and reporting for budgeting and audit purpose.
  • Prepare comprehensive budget utilisation, budget forecasting and recommendations for future improvements.
  • Coordinate procurement processes, including sourcing vendors, obtaining quotes, and managing contracts, in compliance with procurement guidelines.

What we are looking for

Requirements

  • Background in Business Management, Finance, accounting or related disciplines.
  • Minimum 6 – 8 years of experience in programme management, project operations, or public sector administration, with strong financial and budget management experience.
  • Demonstrated ability to manage large-scale budgets, financial reporting and procurement compliance within a complex organizational structure.
  • Strong leadership and organizational skills with experience leading multi-stakeholder projects.
  • Excellent written, verbal, and presentation abilities, with proven experience in stakeholder engagement at senior levels.
  • Analytical and detail-oriented, with strong problem-solving and decision-making skills.
  • Able to manage multiple concurrent projects under tight deadlines while maintaining governance and quality standards.
  • Adaptable and resourceful, with the ability to navigate dynamic environments and shifting priorities.
