What the role is

Manager (Admin & Operations) is a key member of Chingay Organising Team in Arts & Culture Division.  He/She assists in the building and deepening of relationship with Chingay partners, stakeholders, volunteers and supporters to achieve the smooth organisation of the Chingay and to serve PA’s mission of community bonding and building.

He/She will assist in the planning and execution of certain aspects of Chingay operations such as venue rental and management, logistics set up, site cleanliness and security, carpark, traffic and transport management.  He/She will also provide administrative/secretariat duties including procurement paperwork, monitoring work schedules, overseeing rehearsal scheduling and support stakeholder’s management.

In addition, he/she will act as the Production Manager of performing groups to assist them in the production of Chingay performance.    

Day to day administrative work also include the coordination of the recruitment of Interns and Contract Staff to serve the needs of entire ACD.

He/She will also assist Assistant Director (Admin & Operations) and Senior Manager (Admin & Operations) in handling matters pertaining to the operations of events and coordination of projects by Arts & Culture Division.

What you will be working on

  • Serve as Relationship Manager to build good rapport and nurture strong support with Chingay partners, stakeholders, volunteers and supporters.
  • Liaise with relevant government agencies and stakeholders in the rental and management of the Chingay site. Be responsible for all areas of Chingay Site Management, including its cleaning, deployment of mobile toilets where applicable, site security, planning of pre and post condition of rehearsal and show site to manage and minimise liability for damages and take charge of any reinstatement.
  • Oversee site operations and management with a team of site manager, workplace safety officer, and facilities manager to coordinate venue setup and teardown, ensuring adherence to safety protocols and production requirements. On top of that He/She will have to manage rehearsal schedules across PAHQ and event venues.
  • Manage the carpark and its relevant operations to ensure all VIPs and invited guest have a good experience upon arrival at Chingay venue.
  • Recruit, plan and manage the deployment of transport management volunteers for Chingay, which include leading and overseeing a Volunteer EXCO to manage Chingay Performers, Audience Coach and Prop Lorries Alighting and Boarding Points, formulating and executing the traffic management plans for the rehearsals and the show days.
  • Manage and monitor the budget for site and transport management.
  • Manage the preparation and execution of procurement papers (e.g. ITT, ITQ, RFQ) and evaluation analysis of goods and services required to support the operations of the rehearsal and show site.
  • Provide administrative and secretariat duties in the Chingay operations, such as co-ordinating with other committees, divisions and other public or private sector on their requirements and planning for Chingay.  
  • Prepare instructional manual and advisory for more than 100 performing groups to brief them on show production, administrative and operation details.
  • Act as Production Manager for Chingay performing groups, whose role include sourcing and recruitment for participation and overseeing all aspects of the groups’ participation in the parade ranging from costumes, props, choreography, rehearsals and administrative support and budget management.    
  • Assist in planning and execution of fringe events and/or activities related to Chingay and PAssion Arts.
  •  Coordinate the recruitment of Interns and Contract Staff to serve the needs of entire ACD.
  • Perform secretarial duties for Divisional and project meetings.
  • Any other duties assigned.

What we are looking for

Experience in organising and managing events or involvement of performing arts

Operational, responsive, meticulous and highly motivated; possess good administrative, project and contract management, communication and interpersonal skills; able to work well under pressure and tight timelines; willing to work long hours and on weekends
