What the role is

This role provides essential administrative and operational support to Infrastructure Planning & Development (IP&D)'s tenancy management operations. The position ensures efficient administration of tenant relationships, lease documentation, and financial processes whilst maintaining compliance with organisational guidelines. Additionally, the role supports strategic initiatives by managing data quality assurance, coordinating stakeholder communications across government agencies, and contributing to research projects on arts infrastructure.

What you will be working on

  • Administrative and Financial Management:

    • Build and maintain strong tenant relationships through proactive communication and efficient invoice processing

    • Ensure accuracy and currency of tenancy records through meticulous maintenance of the master database

    • Streamline lease administration by managing comprehensive documentation workflows and ensuring all compliance requirements are met

    • Optimise documentation processes through effective e-filing system management

    • Provide responsive customer service by monitoring communication channels daily and delivering prompt, professional responses

    • Facilitate cross-agency collaboration through strategic liaison work, including coordination of high-level meetings and stakeholder engagement for key government initiatives such as URA's Community Facilities Coordination Committee, MCCY's Cultural Policy Research Network, and executive-level CLC meetings

  • Data Governance and Quality Assurance:  

    • Enhance data integrity through systematic quality assurance processes and comprehensive dataset validation

    • Ensure organisational excellence by maintaining strict compliance with IM and NAC operational guidelines

    • Support financial accuracy through close collaboration with Finance teams to maintain current billing systems and data integrity

  • Others/Project Management and Support

    • Contribute to Singapore's arts ecosystem development through research support on arts infrastructure projects, including comprehensive data collection and analytical reviews

    • Apply analytical expertise to complex datasets using advanced statistical methods to inform strategic decision-making

What we are looking for

  • At least 2 years of administrative experience, preferably in property management, tenancy administration

  • Demonstrated experience in managing multiple stakeholder relationships

  • Proficiency in Microsoft Office Suite, particularly Excel for data management and analysis

  • Strong written and verbal communication skills

  • Ability to work independently whilst managing multiple priorities and deadlines

  • Strong attention to detail and commitment to data accuracy

  • Familiarity with Workday system would be advantageous
