You will oversee the management and operations of NLB's archival repositories at the National Archives of Singapore and Former Ford Factory to ensure accountability and support the preservation of the archival collections.

What you will be working on

  • Planning and Processes: Develop, review, and implement repository management guidelines, workflows and processes to ensure proper storage and retrieval of archival materials.
  • Accountability and Reporting: Prepare regular reports on storage utilisation, inventory management, and retrieval requests to provide management with transparent oversight and ensure accountability in repository operations.
  • Project Management: Serve as Project Manager for the Repository Revamp Project, developing project plans that define scope, objectives, deliverables, and timelines whilst ensuring strategic alignment with organisational goals. Track project progress against key milestones and objectives, providing regular status updates to management and stakeholders to maintain transparency and project accountability.
  • Stakeholder Engagement: Collaborate with departments and divisions to identify and finalise user requirements, facilitating effective communication between all stakeholders to maintain alignment and informed decision-making.
  • Procurement and Budgeting: Serve as Project Manager for Repository Operations ensuring prudent fund allocation for operational needs, overseeing procurement of repository supplies, equipment maintenance, and asset management.
  • Environmental Controls and Maintenance: Monitor temperature and relative humidity levels in repositories, collaborating with PFM to maintain optimal storage conditions; overseeing cleaning and maintenance works to ensure a conducive preservation environment for collections.
  • Collection Care and Monitoring: Facilitate stocktake processes, monitor the condition of collections within the repositories.
  • Access and Movement Control: Manage timely retrieval and return of repository items, collaborate with internal stakeholders to develop efficient workflows and oversee accurate recordkeeping. 
  • Security and Access Management: Implement and monitor repository security measures in accordance and facilitate authorised access for retrieval, processing, and maintenance activities.
  • Health and Safety Compliance: Implement and enforce workplace health and safety standards for all staff operating within repository environments.
  • Staff Management: Oversee staff’s performance. Manage and resolve internal operational issues escalated by staff, ensuring smooth repository operations and fostering collaborative relationships within the broader department and division. Identify training needs and facilitate professional development opportunities.
  • Knowledge Management and Continuity: Ensure comprehensive documentation of expertise and processes to maintain operational continuity during staff transitions and preserve institutional knowledge within the repository management function.

What we are looking for

  • Strong planning and organizational skills for managing multiple stakeholders and collections.
  • Knowledge of archival collections and archives management and administration is favourable.
  • Strong strategic thinking and analytical capabilities with demonstrated ability to exercise sound judgement and decision-making in complex situations.
  • Excellent interpersonal skills to build rapport with diverse teams and maintain effective working relationships across all organisational levels.
  • Excellent communication skills in both written and spoken English with the ability to prepare submissions and presentations to seek endorsement from senior management.

The successful applicant will first be appointed on a 2-year contract basis.
