We are looking for Executive/ Senior Executive in Programme Experience and Operations (PXO). The successful candidate will provide end-to-end programme administration and operations support for Institute programmes and events. Ensure seamless programme management and delivery, ranging from pre-programme planning (budgeting, costing, pricing, registration) and on-site delivery support to post-programme administration (invoicing, payments, accruals, knowledge management). This includes course setup and technology-enabled learning tools to ensure smooth delivery of training interventions.

What you will be working on
1. Programme Administration & Operations
• Prepare programme/event budgets, costing, and pricing in line with implementation plans; manage participant registration and confirmation
• Provide on-site logistical support; record attendance and compile course evaluations
• Assist trainers/resource persons/speakers with administrative and logistical matters; coordinate travel arrangements where applicable
• Use digital tools to support training interventions and meet learning outcomes; leverage technology to streamline processes and support tasks where applicable
2. Contracting, Procurement & Systems
• Support preparation of contractual agreements for trainers and third-party training providers using appropriate procurement methods (e.g., ITT, ITQ, DC); prepare procurement requests and manage purchases for programmes/events
• Create courses/classes in learning management systems such as PMAP and DLE; set up virtual platforms and engagement tools for programmes and events
3. Stakeholder Management
• Liaise with both internal and external stakeholders to ensure business requirements are met; provide course updates to stakeholders to ensure college service standards and team KPIs are met
4. Financials & Records
• Ensure timely invoicing/billing to participants and timely payments to trainers and suppliers; maintain proper accrual of programme expenditures
• Maintain accurate knowledge management records and centralised, auditable programme files
What we are looking for
Experience and Technical Skillset
• Experience with programme and event management preferred
• Proficient in Microsoft Office and presentation tools such as Canva
• Experience with virtual platforms such as Zoom and MS Teams, and digital engagement tools such as Mentimeter, Pigeonhole, and Kahoot would be advantageous
• Experience with Tableau data analytical dashboards, Excel pivot tables, etc.
• Comfortable working with numbers and possess strong analytical skills for budgeting, financial tracking, and data interpretation

• Excellent written and verbal communication skills; organised and meticulous; team player able to work under pressure and meet short deadlines
• Good interpersonal and customer service skills; good problem-solving and time management abilities
• Ability to exhibit critical thinking skills to analyse situations, evaluate options, and make sound recommendations
