Intern (AI-Driven Onboarding)

What the role is

The intern will work within Tote Board's Corporate division (Human Resource, Workplace and IT teams) to lead the AI-Empowered Onboarding Experience Design project. This involves combining design thinking, user experience research, and emerging AI technologies to reimagine and transform the employee onboarding experience through an intelligent, personalised onboarding system that anticipates new employees' needs and delivers timely, relevant support during their critical first days.

This includes:
• Conduct user research and interviews with recent hires and HR staff to identify onboarding challenges and information gaps
• Map the end-to-end new employee journey to understand where AI intervention would be most valuable
• Design an intelligent content architecture that categorises onboarding information by relevance, urgency, and user context
• Create user flows and prototypes for an AI assistant that answers common first-day questions
• Develop conversational design documentation including dialogue flows and response frameworks
• Build interactive prototypes demonstrating the AI onboarding assistant interface
• Conduct user testing sessions and iterate designs based on feedback
• Deliver implementation roadmap with technical considerations and success metrics

What you will be working on

Requirements:

  • Currently pursuing a degree or diploma in Design, Media, Communications or a related discipline
  • Strong analytical, research, communication, and media design skills
  • Proficiency in Microsoft PowerPoint and Word, Adobe Creative Suites
  • Familiarity with UX/UI design principles and prototyping tools (Figma, Adobe XD)
  • Basic understanding of AI/chatbot interfaces
  • Knowledge of programming languages (beneficial for understanding AI capabilities)

Learning Outcome:

You will gain experience in:

  • Human-centred design and user research methodologies within an HR context
  • AI applications in employee experience, including natural language processing and conversational interface design
  • Service design, journey mapping, and designing for complex organisational systems
  • Prototyping and user testing with real stakeholders and end-users
  • Change management and implementing AI solutions in a public agency setting
  • Building portfolio pieces demonstrating innovative, human-centred solutions
