You will be providing key secretariat, administration and logistical support to the Divisional Directors (“Principal”), such as managing the Principals' calendar, liaising with other PAs, Executive Assistants and officers (e.g. on common slots, room bookings), preparing/printing meeting materials and helping to collate the divisions' inputs to administrative consultation requests.

What the role is
What you will be working on
Key areas of work:
• Assist in organisation of meetings such as scheduling, preparation of meeting materials, documents and logistics, registering visitors via the Visitor Management System and other related duties.
• Manage the Principals' schedules in consultation with other stakeholders to ensure seamless transition between meetings/appointments, taking into account travel time etc.
• Support the divisions for overseas official trips including co-ordinate travel arrangements, preparing trip materials, sourcing and booking of dining venues and menus, preparing of appropriate gifts for official gift exchanges and seeking approval.
What we are looking for
• Experienced in corporate admin and secretarial support
• Strong interpersonal, communication and organisational skills
• Proficient in Microsoft Office (Word, Excel, Powerpoint, Outlook);
• Ability to multi-task and work well under pressure and in a fast-paced environment
Competencies Identified for the Role
1. Administration Management - Deliver administrative services and solutions to support the division's operations.
2. Logistics Coordination - Manage travel arrangements and logistics planning.
3. Secretariat Support - Administer secretarial functions and provide support in secretarial matters relating to key stakeholders.
