What you will be working on
• Carry out Personal Assistant (PA) duties and provide administration and logistical support for the directors, such as managing the directors’ calendars; printing meeting materials and trip folders for them; processing their claims; and helping them collate the divisions’ inputs to administrative consultation requests.
• Arrange internal and external meetings for the directors, such as working with other PAs to find common slots; booking timings and meeting venues; clearing security and carparking arrangements.
• Provide logistical support for meetings and events organised by the divisions (including bilateral calls, hosting of visitors and overseas trips), such as booking venues; setting up the venues; printing meeting materials; carrying out procurement for venues, gifts refreshments and other services; and providing administrative support for overseas trips (e.g. check for flight and hotel quotes).
• Manage the divisions’ inventories as assigned and track the stock and movement, such as gifts for bilateral exchanges and official travel passports.
• Support the divisions’ knowledge management efforts, such as organising and maintaining materials and SOP documents; helping the divisions to collate information for writing analyses or submissions.
What we are looking for
• Experienced in corporate administration and secretarial support.
• Basic experience in finance and procurement.
• Strong interpersonal and organisational skills.
• Proficient in Microsoft Office (Word, Excel, Powerpoint, Outlook).
• Ability to multi-task and work well under pressure and in a fast-paced environment.
• Good communication skills.
• Able to work well independently, as well as with diverse teams of officers.
