What the role is

Our work in the Resilience and Engagement Division (RED) centres on strengthening national identity, enhancing social cohesion and solidarity, and commitment to contribute to the common good. We do this through three pillars of work which have an impact on both locals and newcomers into Singapore society: fostering a strong and inclusive sense of national identity, helping newcomers integrate into Singapore and appreciate what it means to be part of Singapore, and promoting a culture of volunteerism and giving.

What you will be working on

• Provide end-to-end administrative and operational support to principal, ensuring all scheduling of calendars and engagements are managed efficiently and effectively. • Handle correspondences and information that may be confidential or sensitive in nature. • Serve as the primary point of contact for ad-hoc communications with various stakeholders on behalf of teams within the division. • Work with officers in the team to coordinate agenda and logistical support for high-level meetings and engagements, as well as prepare clear and timely records of meetings and follow-ups. • Coordinate input for cross-cutting workstreams across teams within the division, to facilitate smooth and timely follow-up. • Develop, review, and maintain manuals and standard operating procedures, to strengthen processes (e.g. grants governance) across teams with the division. • Work closely with the teams to manage feedback and queries received (including handling of calls and drafting of correspondences), as well as to analyse data to provide insights on areas where teams can strengthen policy-ops processes. • Take on other ad-hoc tasks as assigned by the principal.

What we are looking for

Required Competencies Stakeholder Engagement • Identify and engage with key stakeholders strategically, as well as build and sustain relationships with diverse stakeholders. Secretariat Support • Perform secretarial functions and provide administrative support for key stakeholders. • This includes coordinating and scheduling events and meetings, managing overall logistics, preparing meeting documents and briefs, and drafting clear correspondence and email responses. Administration Management • Plan, prioritise and perform different administrative and business support tasks based on their degree of complexity and level of urgency. • Liaise with various stakeholders in person, via phone, email and other written correspondence to understand needs, prioritise requests and suggest appropriate administrative support Other Requirements • A passion for Singapore and keen interest to contribute to our mission of building national identity, social cohesion, and solidarity. • Independent, resourceful and collaborative team player, with a natural ability to anticipate needs of principals/teammates/stakeholders and proactively recommend solutions to deal with potential challenges. • Meticulous, with excellent attention to detail. • Strong writing, communication and stakeholder management skills. • Prior secretarial and corporate support experience a plus.
