What the role is

To provide administrative, coordination, and logistical support to the Minister’s Office. The role is critical to ensuring the smooth, efficient, and professional functioning of the office. The officer will work under the direction of the Special Assistant to the Minister, and act as a central point of coordination across the office, managing correspondence, logistics, and internal processes while maintaining the highest standards of confidentiality, accuracy, and professionalism. You will be working in a fast-paced and dynamic environment that would require the ability to manage multiple priorities and stakeholders at the same time.

What you will be working on

Key responsibilities include, but are not limited to: (I) Administrative Support • Provide day-to-day administrative support to the Special Assistant, including scheduling, prioritisation of meetings and tasks and specific projects led or overseen by the Special Assistant, as required. • Assist in tracking commitments, deadlines, and follow-up actions arising from meetings, briefings, and correspondence. • Prepare, compile, and organise briefing materials, submissions, and background documents as directed by the Special Assistant. • Assist in administrative management of the Minister’s Office budget, including preparing draft budget submissions, tracking expenditures and commitments against approved budget allocations. • Serve as a coordination point between the Special Assistant and internal departments, agencies, and external stakeholders. • Maintain organised records, document management systems, and filing (digital and physical). (II) Logistical and Operational Support • Coordinate logistics for meetings, consultations, and official engagements led or overseen by the Special Assistant, including venues, materials, and participant coordination, as needed. • Assist with travel and visit logistics where the Special Assistant is responsible for coordination, including itineraries and briefs.

What we are looking for

Essential Requirements • Tertiary education in business administration, finance, healthcare administration, statistical analytics or a related field, with at least five (5) years of work experience. • Previous experience in secretarial, budget management or administrative roles, preferably within the government or public sector is preferred. • Strong organisational and time-management skills, with the ability to manage multiple priorities. • Good written and verbal communication skills. • High level of discretion, judgment, and professionalism. • Strong attention to detail and accuracy, particularly in financial and administrative matters. • Proficiency in standard Microsoft office applications and financial tracking tools (e.g. spreadsheets, document management systems). Personal Attributes • Highly dependable, proactive, and organised. • Strong interpersonal skills and the ability to work collaboratively in a team environment. • Ability to maintain confidentiality and handle sensitive information with discretion.
