What the role is

Assistant Director (Digital Capabilities and Systems), Registries of Patents, Designs and Plant Varieties (3-years contract) Great ideas do not discriminate, and anyone can have them. The Registries of Patents, Designs and Plant Varieties (PDPVP) supports IPOS’ vision by building and maintaining a top-ranked IP regime in the world.

What you will be working on

Key Responsibilities • Conduct detailed analysis of existing Registry operations, workflows and data to identify opportunities to streamline processes both offline and online in the Registry digital platform for IP filing, IP search, IP portfolio management and IP application processing. • Lead process improvement initiatives for Registry operations, leveraging technology and data-driven approaches to enhance day-to-day operational efficiency. • Support stakeholder engagement activities by gathering user requirements, facilitating workshops, and collecting feedback on proposed process changes. • Partner IT department to provide detailed business requirements for process improvements and test solutions to ensure they meet operational needs. • Establish and track operational metrics and key performance indicators to measure the effectiveness of implemented process improvements. • Prepare detailed process documentation, workflow maps and impact assessments to support decision-making on process enhancement initiatives. • Assist in change management activities by developing training materials, conducting user sessions and supporting teams in adopting new processes.

What we are looking for

Write to us if you have/are: • 5 to 7 years in business process improvement, with 2 to 3 years leading process improvement initiatives with measurable outcomes. • Hands-on experience conducting detailed business analysis, requirements gathering and facilitating stakeholder workshops. • Experience with metrics development and KPI tracking. • Strong training delivery capabilities and with process documentation and impact assessments. • Strong analytical and problem-solving capabilities with excellent written and verbal communication skills. • Background in intellectual property, especially in Patents and Designs, will be advantageous. • There is possibility to be emplaced on a permanent position.
