What the role is

Administrative Executive / Higher Administrative Executive (Conservation and Urban Design) We are seeking an administrative professional to join the Conservation and Urban Design Department within URA, to provide administrative, financial, and secretarial support. This role involves managing departmental administration, financial processes, budget reporting, and knowledge management systems to support the department's operations.

What you will be working on

Key Responsibilities: Management Administration: • Schedule and coordinate CUD Monthly Management Meetings including agenda preparation and notes of meeting. • Process nominations for staff training, courses, and committee appointments. • Prepare departmental inputs for adhoc reports such as Corporate Retreat, Video for Staff Conference, and Work Plan Transformative Initiative. • Maintain stakeholders' databases and record briefings. Financial Administration: • Verify and approve contracts and variation orders in Workday system. • Raise internal billings for inter-departmental charging and monthly billings to MND, NHB and other agencies. • Provide information and advice to staff on CUDG Budget Balances, expenditures, spend categories, and cost centres from Workday. • Prepare expenditure papers for ownership search and coordinate CUD's projected needs for URA term contracts. Budget and Financial Reporting: • Manage yearly budget exercises and monthly/quarterly allocation of budgets and cashflow across operating, development, IT, and training categories. • Prepare MOF reviews on projects utilising URA's Reserves, MND Budget Returns, and medium-term expenditure projections. • Compile MND Annual Consolidated Reports on development projects and quarterly MAS Financial Reporting on expenditure versus cashflow. Knowledge Management and Secretarial Support: • Assist in managing UD and Conservation Departments' knowledge management systems and review standard operating procedures for filing. • 2nd covering as secretarial support to Chief Urban Designer and Group Director including schedule management and meeting coordination. • 2nd covering for DAX Admin functions.

What we are looking for

Requirements 1. GCE ‘O’ / ‘A’ Level qualifications 2. Minimum of 3 years of secretarial/administrative experience 3. Must be computer literate, with good knowledge of Microsoft Office applications 4. Possess a positive attitude and have an eye for details 5. Ability to multi-task and possess good interpersonal, organisational and communication skills 6. Able to work independently and in a team The successful candidate will be offered a 1-year contract in the first instance, with continuation subject to further assessments and considerations.
