What you will be working on

ActiveSG Ops HQ supports Sport Centre Operations and ActiveSG in operational planning and resource allocation during crisis management. The ActiveSG Ops HQ shall provide accurate, relevant, and timely information to aid in early warning and decision-making of the Sport Centre Operations (SCO) when required. To support ActiveSG Ops HQ by providing data analysis for operational improvements, reviewing and refining policies and processes in line with operational needs, and managing secretarial responsibilities for the Sport Centres and ActiveSG Operations Workplan. Role and Responsibilities: • Collect, analyze, and report on program, partnership, and incident data. • Provide actionable insights to improve operational efficiency and enhance user experience. • Develop operational data dashboards and reporting tools to facilitate real-time decision-making. • Lead secretariat for Sport Centres and ActiveSG Workplan meetings. • Specialize in the review and refinement of centre operations policies and processes, focusing on enhancing the efficiency and effectiveness of facility operations. This involves synthesizing information from multiple sources, including guidelines, standard operating procedures (SOPs), and feedback from the ground. • Drive governance, compliance, and business continuity standards by ensuring that all centre operations policies and processes are regularly reviewed and updated to remain aligned with regulatory requirements, internal controls, and risk management frameworks. • Develop and provide administrative support and centralised coordination for Sport Centre Ops in key initiatives such as generation of timesheet deployment, sending of DUS booking reports to Wardens, Coordination of HQ driven initiatives (i.e., Les Mills Programme, HealthierSG, etc), and analysis of incident reporting and coordination. • Monitor real-time information and analyse data from multiple sources to maintain situational awareness and identify any potential issues or threats that will adversely affect Sport Centre Ops, such as Covid, Haze, Bomb Threats. • Use technologies and software to collect, process, and display information relevant to the operations they are overseeing and collaborate closely with key stakeholders, including zonal leads, sport centre management, to ensure effective communication and coordination. • Monitor the implementation of Sport centre operations policies/ processes for efficient operation of facilities based on information from various channels (e.g. guidelines, SOPs, feedback) • Ensure timely submission and renewal of statutory requirements by sport centres such as Fire Certificate, endorsement, and deployment of Fire Safety Managers. • Operate the communications, detection, and integrated systems essential for sport facilities management and operations. • Provide situational awareness of the different sport facilities for ActiveSG Senior Leadership decision making and to address service recovery challenges. • Work closely with centre management, cross-functional departments, and vendors to identify critical issues, and develop new or improved solutions to facilitate command and centre on a wider scale. • Work in tandem with the teams to identify areas of improvement in centre operations. • Continuous Service Improvement by collaborating with the Membership Experience team and Integrated Facilities Management Team to identify key touchpoints, chronic issues and sub-standard performance areas; create improvement plan to address issues and track improvement project to completion.

In addition, an ideal candidate should possess the following: • At least 5 years of proven experience and/or track record in relevant areas • Critical thinking using logic, data & qualitative reasoning • Team player with collaborative mindset • Always seeking out emerging new trends • Comfortable with leading negotiations with partners and stakeholders • Good communications skills (both written and spoken) • Good writing and presentation skills • Proficient in MS Office applications in particular Microsoft Powerpoint Only shortlisted candidates will be notified. The level of offer will commensurate with applicants’ experience and track records. Successful candidates will be offered a 2/3-year contract in the first instance.
