What the role is

We are seeking an Executive Assistant to provide executive assistance and administrative support at the Ministerial office.

What you will be working on

You play a crucial role in supporting the Principal by managing a diverse range of administrative tasks and facilitating communications with multiple internal and external stakeholders. The key responsibilities are: • Manage the Principal’s complex calendar, including scheduling meetings and appointments and preparing meeting or briefing materials for the principal • Work with multiple stakeholders to ensure smooth logistics and running of meetings, events and overseas travel • Handle confidential correspondence and documentation • Liaise and facilitate coordination with internal and external stakeholders at all levels • Process financial claims and manage other administrative matters • Undertake any other duties as assigned by the Principal

What we are looking for

• IT savvy and resourceful, including expert use of online resources • Ability to work well and with great tact when engaging people • Understands and anticipates the needs, preferences and priorities of the Principal, when managing requests from internal and external stakeholders • Exceptional organisational and time-management skills, with attention to detail • Ability to operate in an intricate, fast-paced, and dynamic environment with multiple priorities • Knowledge of government protocols and procedures will be an advantage Ideal candidate should also possess the following key competencies: • Thinking Clearly & Making Sound Judgements - Strong analytical and critical thinking abilities • Learning & Putting Skills into Action - Possesses the drive and curiosity to learn and apply new skills, knowledge, and new ways of working. • Improving & Innovating – Ability to seek continual improvements, and to innovate and experiment while managing the risks involved. • Working Effectively with Stakeholders – Ability to mobilise and rally partners and stakeholders towards a collective purpose. As part of the shortlisting process for this role, candidates may be required to complete a medical declaration and/or undergo further assessment.
