Assistant Manager (MCAOC Programme & Administrative Operations)
What the role is
What you will be working on
Industry Engagement & Training
- Plan, organise, and execute outreach programmes, including cybersecurity workshops, webinars, and training sessions for maritime industry stakeholders.
- Build and maintain strong relationships with industry associations and stakeholders to promote participation in MCAOC programmes and initiatives.
- Develop, review, and continuously update training materials to ensure alignment with the latest maritime cybersecurity standards, technologies, and policy developments.
- Facilitate cross-functional collaboration within MCAOC to support smooth communication and coordinated delivery of programmes.
- Coordinate logistics for MCAOC-hosted events, workshops, and ceremonies, ensuring seamless execution for internal and external participants.
- Organise visits to MCAOC, including showcasing lab facilities and demonstrations, to enhance industry understanding of our capabilities.
Procurement & Financial Administration
- Lead end-to-end tender and procurement processes, including supplier identification, RFx preparation, bid evaluation, contract negotiation, and vendor management.
- Track and report key procurement and financial metrics, including cost savings, supplier performance, and budget utilisation.
- Manage CDG’s overall budget administration, liaising with Finance, preparing reports, and processing claims to ensure financial control and compliance.
- Oversee purchase orders, invoice processing, and vendor payments in line with policies and regulations.
- Administer all billing under the new charging model for MCAOC, managing increased volume efficiently and accurately.
Administrative & Operational Support
- Provide administrative support to Directors, including calendar management, meeting coordination, and overseas trip arrangements.
- Manage office supplies, goods and services procurement, purchase order creation, and invoice processing in accordance with policies and regulations.
- Support team development and welfare initiatives through training coordination, team-bonding activities, staff onboarding, and celebrations for special occasions.
- Maintain accurate records and documentation for all programmes, procurement, and administrative activities to ensure operational efficiency.
- Perform other duties as assigned by management.
Successful candidates will be offered a 2-year contract in the first instance and may be considered for an extension or placement on a permanent appointment.
What we are looking for
- Minimum 3 years of relevant experience in corporate administration; experience in records, information, or document management is an advantage.
- Proactive, meticulous, and independent team player with strong organisational and multitasking skills.
- Strong interpersonal and communication skills to liaise effectively with internal and external stakeholders.
- Comfortable supporting both administrative operations and industry engagement initiatives.
