What the role is
The Course Administration Executive supports the effective delivery of Continuing Education and Training (CET) programmes within Ngee Ann Polytechnic’s (NP) CET Academy. The role provides end‑to‑end administrative and operational support across the course lifecycle, working closely with academic staff, trainers, learners, and internal and external stakeholders to ensure smooth programme execution in accordance with NP and funding agencies’ policies, academic standards, and regulatory requirements.
What you will be working on
Your responsibilities will include, but are not limited to, the following:
Course setup and scheduling in accordance with approved academic calendars and programme plans
Administer learner registrations, enrolments, withdrawals, and attendance records
Coordinate course logistics, including classrooms, training facilities, learning platforms, and teaching resources
Liaise with academic staff, trainers, and stakeholders to support course delivery
Administer assessments, learner feedback, and course completion processes
Maintain accurate learner and course records in NP and funding agencies’ systems and training management platforms
Prepare and disseminate course communications, confirmations, timetables, and post‑course documentation (e.g. certificates, where applicable)
Support compliance with NP’s academic policies, CET quality assurance frameworks, and audit requirements
Assist with data collection and reporting for internal reviews, management reporting, and external submissions (e.g. regulatory or funding‑related, where applicable)
Handle learner and trainer enquiries professionally, ensuring timely follow‑up and resolution
Coordinate with internal stakeholders such as academic schools, finance, IT, and facilities to support CET operations
On site and/or virtual session support to ensure courses run smoothly, where needed
Maintain proper filing and documentation in line with NP’s governance and records management practices
Perform other CET‑related administrative and operational duties as assigned
What we are looking for
At least 3 years of working experience, preferably in one of these areas: educational programme management, Accounting and IT, customer service
Proficient in MS Office applications with intermediate to advanced Microsoft Excel knowledge
Good communications skills and ability to connect to people
Excellent time management and multi-tasking ability
High adaptability to changes in a fast-paced environment
Fresh graduates with the relevant skillsets and good service orientation are also welcome to apply
