What the role is

As a grantmaker committed to creating meaningful social change through impact giving, Tote Board is seeking a motivated intern to join our team. This internship offers hands on experience in designing structured knowledge content for AI assisted tools, developing clear workflow documentation, and supporting user testing to validate the accuracy and robustness of the knowledge base. You will learn how information is prepared, organised, and optimised so that AI systems and end users can retrieve guidance accurately and efficiently. Join us to develop your skills in knowledge design for AI deployment and contribute to our digital knowledge management initiatives.

What you will be working on

The intern will be required to:

  • Develop a structured knowledge base by organising key operational workflows and process information into clear, accessible formats.

  • Create and update step‑by‑step workflow guides that ensure accuracy, clarity, and ease of use for staff.

  • Produce well‑structured, AI‑compatible documentation that supports effective retrieval by digital tools and internal AI‑assisted platforms.

  • Conduct user acceptance testing with user groups, document key findings, and recommend improvements based on feedback.

  • Prepare a straightforward upkeep and maintenance guide to support future content updates and version control.

  • Support additional tasks or ad‑hoc projects as assigned.

Requirements:

  • Currently pursuing a diploma/degree in a relevant field such as Social Science, Computer Science/Information Technology or a related discipline.

  • Familiarity with AI‑enabled tools and digital platforms, including an understanding of how information needs to be structured for AI retrieval (e.g., clear chunking, tagging, consistent formats); proficiency in Excel and PowerPoint is preferred.

  • Ability to work independently and in a team.

  • Strong organisational and time management skills.

  • Comfortable working with digital tools, learning new platforms, and structuring content for clarity, usability, and machine readability.

The intern will have the opportunity to:

  • Gain hands‑on experience with AI‑enabled tools, learning how such platforms operate and how content interacts with them. 

  • Learn how to design and structure content for AI retrieval, including how information should be organised for machine understanding. 

  • Understand end‑to‑end process mapping, observing how operational workflows are documented and translated into structured guides. 

  • Conduct user acceptance testing, gather user feedback, and iterate on improvements based on real‑world insights. 

  • Build practical skills in documentation, workflow design, and user‑focused content creation.
