Personal Assistant to Senior Management

What the role is

You will serve as the main point of contact, providing key secretariat and administrative support to senior management. This role requires someone who is resourceful, well-organised, able to manage multiple priorities effectively and engage stakeholders while maintaining high standards of efficiency, confidentiality and professionalism in a fast-paced environment.

What you will be working on

You will provide key secretariat and administrative support, including the following: • Assist in coordination of meetings such as scheduling, preparation of meeting materials, documents and logistics, and other related duties to ensure that Principal is prepared for the necessary meetings and events. • Manage the Principal's schedule in consultation with other stakeholders to ensure smooth transition between meetings/appointments. This includes facilitation of security of guests and media. • Screen phone calls and email requests from Members of the Public to the Principal and redirect them to the relevant parties for their follow-up. Ensure responses are attended to promptly. • Provide support and coordinate for overseas official trips

What we are looking for

• Proven relevant experience as a Personal Assistant, or in a similar role supporting senior management; • Able to work independently with good organisational and time-management skills to provide support in secretarial matters relating to assigned principal; • Work with relevant stakeholders at various levels to obtain relevant inputs and ensure smooth coordination and transition between meetings and appointments; • Professional and resilient, able to perform under pressure, manage short timelines and adapt to fast-paced environment with shifting priorities quickly.
