What you will be working on
• Perform day-to-day operations related to records management which include managing of electronic records system, review of taxonomy/metadata structures, tagging of proper records classification and retention schedules, managing, and assigning user access groups and permission, conducting disposition review by working with the relevant stakeholders and National Archives of Singapore, managing various feedback and requests.
• Manage the tech refresh project of the existing electronic records system including monitoring timelines and budget utilisation, risk management, and providing regular updates and documentations at different forums.
• Work with the appointed vendor and internal IT team to ensure delivered solutions align with technical, functional, and business requirements which include managing/tracking change requests, conducting annual system reviews, and monitoring routine system maintenance.
• Handle internal communications and staff engagement regarding records management, including planning and organising briefing sessions and sharing events for stakeholders, as well as providing updates to senior management.
• Conduct periodic records management policy and guidelines reviews.
• Support annual and ad hoc housekeeping and audit activities to ensure compliance with internal and statutory records management requirements.
• Conduct data analysis such as identifying and interpreting trends/patterns in records management processes.
What we are looking for
Skills & Knowledge Requirements
• Candidates with relevant work experience in project and contracts management as well as knowledge of records management are preferred
• Preferably with some understanding of IT knowledge and data analytics
• Good interpersonal skills to engage internal and external stakeholders
• Good writing, analytical and presentation skills
• Able to work independently and in teams, with good attention to detail and problem-solving skills.
• Familiar with MS Office
