You will be part of the team to manage the Admin, Facilities, Workplace Safety & Health and Corporate functions, in support of the running of the business for the division.

What you will be working on

  • Manage the smooth and efficient running of the division’s offices and storage repositories and the safety and wellbeing of staff, mainly at Library Supply Center and others such as the National Archives of Singapore and Former Fort Factory:
    • Administration function of the division which covers mail room services, staff and vendors workspaces, meeting rooms and common areas, beverages, office equipment, assets and staff admin matters
    • Facilities management of the building and services covering maintenance, annual certification exercises, regular inspections, emergency response plan and workplace safety and health
    • Projects to meet changing needs of the division and improve operations efficiency through leveraging technology and industry best practices
  • Procurement of services and goods with good contract and budget management
  • Administration of vendors who are contracted to provide their services on site
  • Effective engagement and communications with vendors, the building landlord and NLB external and internal stakeholders
  • Provide divisional corporate support as follows:
    • Corporate events such as division town halls, NLB staff orientations
    • Visits and learning journeys by external organizations/institutions
  • Compliance with statutory requirements, policies/guidelines and corporate governance
  • Conduct regular reviews on SOPs, guidelines and embark on continuous process improvements
  • Collate and analyze data and prepare reports
  • Support NLB/Division committees and projects

What we are looking for

  • Able to multi-task, work simultaneously on a no. of projects/tasks to meet timeline
  • Able to work with details, meticulous and organized.
  • Proactive and able to work independently or in team settings.
  • Possess good project management skills
  • Good writing, communication and interpersonal skills. Computer literate in MS Office.

The successful applicant will first be appointed on a 2-year contract basis.
