What you will be working on
Procurement, Contract Management & Finance
• Lead and execute procurement activities for projects and corporate needs, in line with public sector policies and governance.
• Manage contracts, including tender preparation, evaluation, negotiation, and contract performance monitoring.
• Support budget tracking, expenditure monitoring, and financial reporting related to procurement and contract utilisation.
Programme and Project Support
• Maintain accurate records, databases, and documentation for programmes, grants, partnerships, procurements, and contracts.
• Monitor project timelines, deliverables, risks, and compliance, ensuring alignment with procurement and contract milestones.
• Analyse programme and project data to support planning, process improvements, and management reporting.
Administrative, Meetings & Stakeholder Support
• Coordinate meetings, appointments, and travel arrangements for senior management, including preparation of meeting materials.
• Oversee office operations and document management, ensuring proper handling of confidential information and adherence to governance requirements.
• Support stakeholder and vendor engagements, including preparation of correspondence and follow-up on decisions and action items.
What we are looking for
• Knowledge of procurement, business, finance or supply chain operations will be an advantage.
• Prior experience in government or regulated procurement environments (e.g. export controls, compliance) is a plus.
• Experience using government procurement platforms (e.g. GeBiz) and enterprise systems (e.g. SAP) will be an advantage.
• Strong interpersonal and communication skills to work effectively with cross-functional teams and external vendors.
• Detailed-oriented, organised and comfortable working with numbers and documentation.
• A strong team player who can work independently in a fast-paced environment.
• Willingness to support operational and administrative tasks as needed, and to collaborate with the larger administrative team on ad-hoc assignments delegated by management.
• Proficient with MS office software (i.e. Word, Excel and Powerpoint)
• Good interpersonal and communication skills
