What the role is

The Corporate Resources (CR) Knowledge Management (KM) team is part of the Corporate Development Division (CDD). The team focuses on harnessing knowledge through people, policies, processes, information and technologies. The CR KM team strengthens MND’s KM in the areas of knowledge creation, retention and sharing, records management and building a strong culture of KM within MND and across MND Statutory Boards. The team engages internal stakeholders to encourage ownership of KM within the organisation.

What you will be working on

This role is key to managing and operationalising records management projects as part of the Registry function within the CR KM team. You will focus primarily on planning, operationalising and supervising a small team to oversee our vendors to digitise MND’s documents and records and upload them into digital platforms for knowledge retention and improved accessibility. Other areas of focus will include the review and management of the Intranet and other Registry operations and processes to streamline or improve them in alignment with organisational goals, as well as using AI and digital tools to improve work processes. The job holder will: - Oversee a team of temporary staff to: o coordinate the digitisation project together with the appointed digitisation vendor team and MND IT team, o conduct stocktakes, inventorying and listing of hardcopy files and non-file records (e.g. records residing in systems, photographs, maps, building plans and audio-visual) in our registry and storerooms, o handle the movement of hardcopy files during office renovations and/or as part of operations, o Carry out quality checks for scanned images delivered by the vendor to ensure there are no missing or unclear pages, o Prepare and upload digitised documents and records to the relevant digital platforms and repositories, including MND’s records management system. - Prepare tracking lists and generate reports to monitor project progress for update to Management. - Collaborate with divisional representatives to coordinate and manage the update of the content in the MND Intranet and portals - Review and manage mailroom operations, including hardcopy letters and documents courier and dispatch services and email mailing lists.

What we are looking for

Candidate with the following experience and skillsets: - Education: Tertiary Qualifications in Information System, Data Management, Business Administration or related discipline - Experience: Previous roles with experience in project management and execution, contract, stakeholder and/or administration management are advantageous to the position - Technical Skills: o Operational planning and execution o Intranet management o Strong analytical skills and attention to detail o Supervisory skills o Good presentation skills - Personal Attributes: o Excellent communication skills o Team player who enjoys collaborating with others o Ability to work independently and take initiative - Preferred Qualifications: o Working knowledge of knowledge/information management and records management concepts and principles o Project management and/or data visualisation certifications would be an added advantage Relevant Functional Competences: 1. Project Execution – Plan and execute projects in an effective and efficient manner 2. Contract Management – Apply contract management approaches to identify and rectify key contract and financing issues and optimise project outcomese 3. Stakeholder Engagement – Work with relevant stakeholders at the different levels of the system to engage them on relevant input to support the interventions for organisational change 4. Administration Management – Deliver administrative services and solutions to support the organisation's operations
