What the role is
What you will be working on
Procurement Matters:
- To assist in sourcing and checking quotations.
- To submit procurement requests through the ITE financial system.
- To track item delivery until Goods Received is recorded in the system.
Department Asset Officer (Business Assets Tracking Specialist in Workday system):
- To conduct asset/store registration, including updating descriptions and serial numbers.
- To facilitate assets and store items transfer between departments and/or staff members.
- To manage asset issues to staff.
- To process requests for asset/store retirement.
- To collect the operational-related forms from staff members.
- To prepare and pack project components for distribution.
Assets and Store Items Condemnation Exercise:
- To execute condemnation exercises in accordance with policies and guidelines.
Training Facilities:
- Lab Equipment/PC/Software Maintenance:
To provide 1st line support for lab equipment, PCs, and software.
To arrange for repair services, from sourcing quotations to payment processing.
To facilitate and oversee software installation and maintenance with IT support.
To ensure proper tagging and labelling of assets and store items.
- Lab/Classroom Facilities Maintenance:
To oversee the maintenance of lighting, AV systems, tables, and chairs in the labs and classrooms.
To monitor and replenish the first aid box, check for expiry.
To raise small works orders for electrical, LAN, paint, and W&B as needed.
What we are looking for
- Minimum of three years of relevant working experience.
- Suitable technical credentials would be advantageous.
- Strong organisational and multitasking skills.
- Excellent attention to detail.
- Familiarity with procurement processes and systems.
- Proficiency in asset management, including tracking and retirement processes.
- Technical expertise in lab equipment, PCs, and software maintenance.
- Ability to collaborate effectively with IT support for technical facilities.
- Knowledge of safety and compliance regulations in an academic setting.
