Associate, Procurement and Records Management

What the role is

At Science Centre Singapore, we are passionate about inspiring creativity and innovation through engaging STEM experiences for the community. We are seeking a proactive and detail-oriented Associate, Procurement and Records Management to support procurement operations, records and knowledge management initiatives, and digitalisation efforts across the organisation.

You will play a key part in ensuring procurement compliance, maintaining proper documentation and records governance, and supporting process improvement initiatives that enhance operational efficiency. You will work closely with internal stakeholders and vendors to support smooth day-to-day operations while contributing to organisational digital transformation and knowledge management initiatives.

What you will be working on

You will support procurement operations, including purchase order processing, invoice tracking, goods receipt verification, and vendor payment follow-ups while ensuring compliance with governance requirements through systems such as Workday and GeBIZ. The role also involves maintaining accurate procurement records, resolving discrepancies, and supporting reporting and data analysis.

In addition, you will contribute to records and knowledge management initiatives by reviewing policies, supporting digitisation and disposal exercises, conducting training and engagement sessions, and ensuring compliance with IM4L requirements. The role will also support process improvement, digitalisation, automation initiatives, and other administrative duties assigned to enhance operational efficiency across the organisation.

What we are looking for

The ideal candidate should possess tertiary qualifications in Business Administration, Finance, Procurement, Records Management, or related disciplines. A minimum of 2 years of relevant experience in procurement, finance operations, records management, or administrative functions is preferred. Proficiency in Workday, GeBIZ, and other procurement or financial systems is expected, alongside a sound understanding of records management practices and Government Instruction Manuals.

The successful candidate must demonstrate strong attention to detail, with well-developed organisational and documentation competencies. The ability to independently manage competing priorities whilst maintaining effective collaboration with stakeholders across all levels is essential. A positive, adaptable, and proactive disposition, underpinned by a commitment to continuous improvement, will be key to succeeding in this role. The candidate is expected to adopt a meticulous and methodical approach to their work, whilst remaining flexible in supporting ad-hoc responsibilities as and when required.

Candidates with more experience and strong qualifications may be considered for appointment at a senior level.
